Assessment:

City leaders identified a need for stronger message delivery and better framing of issues. Rather than assign the PR/communications duties to someone already tasked with other duties or who may not be qualified, and rather than hire a permanent staffer with the added 35% benefits cost, they outsourced the work to williams group / pr, LLC on a monthly retainer.

Planning:

Initial meetings with the City Manager and other administrators identified several areas of need, including improved content for their existing website, media relations and help with issues management. We developed a baseline fee structure and agreement for monthly retainer work based on hourly billing, with the requirement that any anticipated monthly overage be approved in writing prior commencing work.

Communication:

Services include issues management, communications planning, media relations, website upgrades and general writing. Typically, this involves a conference or meeting with the City Manager and/or staff, followed by research and phone/emails to the client to clarify concerns. Draft(s) of the product are provided for input and revisions; final versions are provided to the client for distribution, uploading to the City website, etc.

The upgrade to the city website included reorganization, revision of content and graphic design improvements, including compilation of ‘How Do I …’ and Frequently Asked Questions tabs for easier, quicker access to information.

Williams Group / pr also supports the city’s Tricentennial Committee’s public relations, marketing and event planning for Beaufort’s 300th birthday, to be celebrated throughout 2011.
